Introduction


Dataships allows you to build a 'Data Access Gateway' between your company and your customers. By setting up your gateway, you are ensuring that you are meeting your new compliance obligations while simultaneously building trust with your users.

All you need to do to get started is to tell us the data sources you are using - we've already pre built and maintain the integrations so you don't have to. Once this is down, you can choose one of the four ways you can activate your Data Access Gateway.

Now you can return to focus on your core work, safe in the knowledge that your gateway is working in the background ensuring you are fulfilling your GDPR & CCPA obligations, while delighting your customers.

How to modify interactive documents

  1. Click on Details beside the policy you wish to change.
  2. If you have multiple sections in your policy, paste them in the first box provided and mark the section headings as H1. All of your sections will appear below.
  3. You can also add individual sections.
  4. Click on any individual section to change it's heading, content or to delete it completely.

Read Only Documents


How to modify PDF(read-only) documents

  1. Click on the Upload New Document button to upload any PDF version of your policy.
  2. Your PDF file will automatically be available to the public through the Privacy Center.

Widget


This is the most commonly used form of the Data Access Gateway used by our clients. We have pre built a widget which you can customise to fit the branding of your website. Customise the colours, positioning and contents to fit your business needs and simply copy your unique javascript code snippet from the Control Panel and paste it inside the html body tag of your website. The widget will then sit as a button on whichever page you choose and is accessible by your users.


Embedded Form


If you would prefer to bring users to a dedicated section of your site, rather than using the form as a pop up you can embed the form directly into a webpage. Choose this option if you want to show the Data Access Gateway on a specific page only e.g. your privacy page. Copy the Embedded version of code snippet from the Control Panel and paste it inside the html body tag of the webpage where you would like the Data Access Gateway to appear.

Webapp


This is the version of the Data Access Gateway with its own URL, sitting on Dataships website. This is ideal for businesses that collect customer data but do not have a website or would like to redirect their customers to Dataships to manage their data relationships.

USAGE

Data Sources


Data Sources are the systems and applications where your customer's data is stored e.g. Mailchimp, Stripe etc.

Part 1: Add a data source

  1. Login to Control Panel.
  2. Click on Data sources.
  3. Go to Add Data Sources.
  4. Select the Data Source you would like to add.
  5. Click on Add button.

Part 2: Configure data source

  1. Login to Control Panel.
  2. Click on Data sources.
  3. Go to Manage Existing Sources.
  4. Select Details on the Data Source you would like to Configure.
  5. Click on Check Connection and Save Details if you change any credentials.

Part 3: Add data fields

  1. Login to Control Panel.
  2. Click on Data sources.
  3. Go to Manage Existing Sources.
  4. Select Details on the Data Source you would like to Configure.
  5. Click on Add/Remove Fields.
  6. Tick the Data fields / Fill out the row you would like to add.

Part 4: Allow data subjects to access and update data

  1. When you complete Part 3, the data subjects will be allowed to access and update their data in the Data Access Gateway.
  2. Navigate to your website and sign up to the Data Access Gateway to preview your data subjects experience.

Tables


Create and maintain historical data of your data subjects details such as weight, height or medical data.

Part 1: Add a Table

  1. Login to Control Panel.
  2. Click on Data Access Gateway.
  3. Go to Custom Tables.
  4. Click on Create Table.

Part 2: Add Table Column

  1. Login to Control Panel.
  2. Click on Data Access Gateway.
  3. Go to Custom Tables.
  4. Click on Add Column.
  5. Fill out the Column name you would like to appear on the Data Access Gateway.

Part 3: Add data for Data Subject in table column

  1. Login to Control Panel.
  2. Click on Customers.
  3. Select Details on the Customer you would like to view.
  4. Their data is available under Historical Data section.
  5. Click on Add Data to add new Rows.
  6. Fill out the column information and select the corresponding date.
  7. Click on Save.

Documents


You can attach a document with a Data Subject. The Data Subject can then see the document in the Data Access Gateway. We currently support the following file extensions: pdf, jpeg, doc, docx, jpg, png, xls, xlsx, ppt, pptx.

Part 1: Add documents for a data subject

  1. Login to Control Panel.
  2. Click on Customers.
  3. Select Details on the Customer you would like to view.
  4. Their documents are available under Documents section.
  5. Click on Upload Document to atact a new document to this Data Subject.
  6. Fill out the document information and choose a file.
  7. Click on Save.

Part 2: Retrieve document for data subject

  1. Login to Control Panel.
  2. Click on Customers.
  3. Select Details on the Customer you would like to view.
  4. Their documents are available under Documents section.
  5. Click on the file you would like to view.

Port Data


Your data subjects will be able to port their data automatically from the Data Access Gateway. A complete history can be seen in Control Panel > Audit Logs > Port Data History section.

Erasure Request


Your data subjects will be able to send Erasure Requests automatically from the Data Access Gateway. This will be show in Control Panel > Case Management > Erasure Request section. A complete history can be seen in Control Panel > Audit Logs > Erasure Request History section.
